Refund and rescheduling policy
How deposits, cancellations, and incomplete record sets affect fees for Portalgardenpath engagements.

Scope
This policy applies to seasonal yield reporting, seasonal outlook briefings, plot comparison reviews, and harvest record reconciliation commissioned from Portalgardenpath. It does not cover physical product sales or software subscriptions, which we do not offer.
Deposits
Engagements above HK$10,000 typically require a 30% deposit to reserve analyst time. Deposits are applied to the final invoice. Deposits become non-refundable once we have begun intake review of your records or confirmed a briefing slot within seven days, except where we cancel on our side.
Eligibility for full refund
You may receive a full refund of fees paid if we cancel an engagement for reasons within our control and no substitute date or analyst can be offered within a reasonable time. If you cancel in writing before we begin reviewing your materials and more than seven days before a booked briefing, we refund fees paid minus any non-recoverable booking costs already incurred with your approval.
Partial refunds
If you cancel after work has started, we invoice for time and materials completed (including draft charts, reconciliation hours, and visits already made) and refund any unused balance of prepaid fees. If record gaps prevent completion and you decline to supply missing materials within thirty days of written notice, we may close the engagement and refund only unused prepaid amounts after completed work is billed.
Non-refundable items
Completed final reports and delivered briefing memos are non-refundable. Approved out-of-pocket costs (printing, courier of hard copies, or travel beyond Tai Po agreed in advance) are non-refundable once spent.
Rescheduling and no-shows
Briefings may be rescheduled once without fee if you give at least forty-eight hours’ notice. Later changes or no-shows may incur a rescheduling fee of HK$800 or forfeiture of the briefing portion of a package, whichever applies in your confirmation email.
Work already started
“Work started” includes opening and assessing your harvest logs, drafting chart boards, travelling for an agreed field visit, or preparing briefing materials. Time already spent is billable at the rates in your confirmation.
Refund process and timing
Email info@portalgardenpath.click with your engagement reference and reason. We confirm eligibility within five business days. Approved refunds are returned by the original payment method within fourteen business days of approval where the payment provider allows; otherwise by bank transfer to an account you nominate.
Exceptions
Statutory rights under Hong Kong law that cannot be waived remain available. Force majeure events (severe weather that closes roads to an agreed site visit, for example) are handled by rescheduling first; fees remain payable for work completed remotely.
